Apply an Unposted Cash Receipt or Credit Memo to a Billing

Overview 

Previously, a record could not be applied to another record if either one was unposted. However, Accounting Seed now provides the ability to apply a Cash Receipt or a Credit Memo to a Billing even if any of the records are unposted.

To maintain system integrity, some applicable restrictions are relevant when applying an unposted Cash Receipt or unposted Credit Memo to a Billing. Use the table below to learn about the restrictions.

Restrictions on a ...Description
Cash Receipt When a Cash Receipt is applied to a Billing, and either one is unposted, the following restrictions apply:
  • The Cash Receipt and the Billing must have the same Ledger.
  • The Cash Receipt and the Billing must have the same currency - This is only applicable if Multi-Currency is enabled.
  • The Applied Accounting Period must be an open Accounting Period.
  • The Applied Posting Period cannot be in a period that is earlier than the posting period of either the related Billing or the related Cash Receipt.
  • The Billing cannot be overapplied. When applying a Cash Receipt to individual Billing Lines, this restriction applies at the Billing (parent) level — the total applied across all Billing Lines cannot exceed the Billing's balance. There is no overapplication restriction at the individual Billing Line level; you can apply an amount greater than a specific Billing Line's balance as long as the Billing's overall balance is not exceeded.
Credit MemoWhen a Credit Memo is applied to a Billing, and either one is unposted, the following restrictions apply:
  • The Credit Memo and Billing must have the same Ledger.
  • The Credit Memo and Billing must have the same currency - This is only applicable if Multi-Currency is enabled. 
  • The Credit Memo and the Billing must have the same Currency Conversion Rate - This is only applicable if Multi-Currency is enabled.
  • The Applied Accounting Period must be an open Accounting Period.
  • The Applied Posting Period cannot be in a period that is earlier than the posting period of either the related Billing or the related Credit Memo.
  • The Credit Memo cannot be overapplied.
  • The Billing cannot be overapplied. 
  • The Credit Memo cannot be applied to another Credit Memo.
