Overview

This article walks you through the one-time setup required before using AI Invoice Capture in Accounting Seed. Complete all required steps before attempting to capture invoices.

Prerequisites

Before you begin, confirm the following:

• Your organization is on the latest Financial Suite version or at a minimum the Spring '25 release.
• Email licensing@accountingseed.com to have AI Invoice Capture enabled. Your Account Manager will provide a link that’s needed as part of this configuration.

Step 1: Set Up and Assign the AS Hub Permission Set

1. If your org is on the Summer '26 Preview release or later, the “AS Hub Authorization” permission set is available out of the box. Skip to #3 below.
2. If your org is on a release earlier than Summer '26 Preview create this permission set:
   1. Navigate to Setup > Permission Sets > click New.
   2. Enter a name like "AS Hub Authorization"
   3. Assign these Apex Classes:
      1. AcctSeed.AccountingSeedHubHelper,
      2. AcctSeed.AccountingSeedHubService
   4. Save.
3. Assign these additional permissions to the “AS Hub Authorization” permission set:
   1. Assign these Apex Classes:
      1. AcctSeed.APAutomationService,
      2. AcctSeed.FileManagerController,
      3. AcctSeed.FilePreviewCarouselController,
      4. AcctSeed.FilePreviewCarouselFieldOptions
   2. Under the Apps section, select App Permissions. Click Edit.
      1. Select the Query All Files checkbox.
      2. Click Save.
4. Assign this permission set to the user authorizing the Accounting Seed Hub. This user must also have:
   1. A full Accounting Seed license
   2. A Salesforce license
   3. AS Full Admin permission set assigned

Note: if configuring this in a sandbox include this permission: go to System Permissions, search for "Approve Uninstalled Connected Apps" and select the checkbox.

Step 2: Authorize the Accounting Seed Hub

If you have already authorized the Accounting Seed Hub, skip this step.

Note: If you plan to use an integration user, log in as that user before authorizing the AS Hub.

1. Navigate to Accounting Home and click the Setup tab. Under the Utilities menu, click Accounting Seed Hub.
2. Click Authorize Accounting Seed Hub.
3. The Allow Access dialog box opens: click Allow.

The Accounting Seed Hub Authorization page refreshes and displays the email address of the authorizing user. The button changes to Re-Authorize Accounting Seed Hub, and the org is now ready to send and receive real-time information. For more information, see the Authorize the AS Hub article.

Step 3: Create a Nanonets Account

Nanonets is Accounting Seed’s AI integration partner, embedded in the product to provide AI Invoice Capture.

Important:

• A Nanonets setup link is provided by Accounting Seed. Contact licensing@accountingseed.com if you have not received it.
• Complete Steps 1 and 2 before creating your Nanonets account. If the Hub is not authorized first, authentication will fail.
• The same user who authorized the AS Hub must create the Nanonets account.

Follow these steps:

1. Use the Nanonets setup link provided by Accounting Seed to access the account creation screen. The Create your Nanonets account page displays.
2. Click Create account via Salesforce. The Salesforce login screen displays.
3. Log in using the credentials of the authorized Hub user. If the Hub was authorized by an integration user, use that user’s credentials.
4. A Salesforce dialog asks for permission to allow Nanonets to access your org. Click Allow.

Note: If you want to test AI Invoice Capture in a Sandbox first, click the Sandbox toggle to enable it before creating the account. Addtionally, If your org's Accounting Seed Hub is reauthorized under a different user, you will need to reprovision your Nanonets account under that new user. Contact licensing@accountingseed.com with the new username and org ID used for reprovisioning, and we will associate it with your previous Nanonets account to preserve your existing data.

Step 4: Update Page Layouts and the Lightning Record Page

Payable Object

1. Add the Invoice Capture Status and Invoice Capture Pages fields to the Payable page layout:
   1. Click the Gear icon and select Setup then click Object Manager.
   2. Search for and select Payable.
   3. Click Page Layouts and select the page layout that you use.
   4. You can optionally create a new section called “Invoice Capture”.
   5. Drag and drop the Invoice Capture Status field into this section.
   6. Drag and drop the Invoice Capture Pages field into the same section.
   7. Click Save.
2. Add the Related Documents / File Preview Carousel component to the Payable Lightning record page. See File Preview Carousel for steps.
3. Add the Advanced Line Manager component to the Payable Lightning record page. See Update the Payable Lightning Record Page with the ALM for steps.

Account Object (Required Only if Using Auto-Capture)

1. Click the Gear icon, select Setup then click Object Manager.
2. Click Account.
3. Click Page Layouts and select the Account (Accounting) Layout (or your custom layout).
4. Drag and drop Exclude Payables from Auto-Capture into the Payable & Cash Disbursement Information section.
5. Click Save.

Step 5: Exclude Vendors from Auto-Capture (Optional)

If you plan to use Auto-Capture and have added the Exclude Payables from Auto-Capture field to your Account layout, use this step to identify and update the vendors you want excluded from the auto-capture process.

1. Navigate to Accounting Home > Setup > Master > Accounts.
2. Search for and select the vendor you want to exclude.
3. Find the Exclude Payables from Auto-Capture checkbox and click the Pencil icon to edit.
4. Select the checkbox and click Save.
5. Repeat for any other vendors.

Step 6: Set Invoice Capture Pages for Multi-Page Invoices (Optional)

Use the Invoice Capture Pages field to specify which pages of a multi-page invoice should be captured. Enter page numbers separated by commas (e.g., 1,2,3). If no pages are entered, all pages are captured.

Important: If Auto-Capture is on and you are using Email to Payable or uploading a single file, capture starts automatically without allowing you to enter page numbers first. Enter page numbers on the Payable record before uploading the file if this setting is relevant to your workflow. If the invoice is a single page, no entry is needed.

Steps to update the Invoice Capture Pages field:

1. Find a Payable that has a multi-page invoice.
2. Review the invoice and identify the page/s you want captured.
3. Find the Invoice Capture Pages field and click the pencil icon next to it to edit it.
4. Enter the page numbers separated by a comma.
5. Click Save.
6. Repeat for any other Payables before beginning auto-capture or capture.

Step 7: Configure Auto-Capture (Optional)

Auto-Capture automatically starts the invoice capture process when a new default file is set on a Payable. If this setting is off, capture must be triggered manually using the Capture button on the Payable record.

Best Practice: Use the Upload File button on the Related Documents carousel. If you need to upload multiple files via the Notes and Files tab, keep Auto-Capture off.

 

1. Navigate to Accounting Home and click the Setup tab.
2. Under Configurations, click Enablements.
3. Click the Pencil icon to the right of Enablements to edit the setting.
4. Scroll to the Invoice Capture section.
5. Click the Auto-Capture Payables toggle to turn it On.
6. Click Save.

Note: The Invoice Capture Expiration (minutes) setting defaults to 30 minutes (adjustable between 1–99), even if it displays as blank. This controls how long the Invoice Capture Review URL remains available after Nanonets completes the capture. This setting does not need to be changed, but you can enter a value between 1 and 99 if needed.
