Reverse a Refund from a Cash Receipt

Overview

If a refund was issued in error using the Issue a Refund from a Cash Receipt article, the entire process can be reversed using the steps below.

Reverse a Refund from a Cash Receipt

Navigate to Accounting Home and click the Create Entries tab. Then, under the Revenues menu, click Cash Receipts.
Select a list view (other than the Recently Viewed list view).
Best Practice: Create a list view specifically filtered on the Refund Cash Receipts. Cash Receipts that are refunds will automatically include “Customer Refund” in the Type field. For information about how to modify fields in a list view, refer to the Modify Display Fields in a List View article.
Select and display the Refund Cash Receipt that you want to reverse (displays with a negative amount).

Note: The original Cash Receipt number displays in the reference column. In the sample screen above, the original Cash Receipt number is CR-00048.
Click the Applied To tab.
Click the Billing Number, which is a Credit Memo.

Click the Applied To tab on the Credit Memo.
Make a note of the Refund Cash Receipt number or display it in a new browser tab. Click the Actions drop-down list to delete the Billing Cash Receipt for the Refund Cash Receipt (displays with a negative amount).

Follow the process from step 7 to delete the Billing Cash Receipt for the original Cash Receipt.
Note: After deleting, the Applied Cash Receipts to the Credit Memo should display as zero (0).
Unpost the Credit Memo.
Delete the unposted Credit Memo.
Display the Refund Cash Receipt, which was noted in step 7 (this has a negative amount). Click the Applied To tab. No records should be applied. If a record displays as being applied, delete it using the Actions drop-down list.
Unpost the Refund Cash Receipt.
Delete the Refund Cash Receipt to complete the reversal process.
