Apply an Unposted Cash Disbursement or Credit Memo to a Payable

Overview 

Previously, a record could not be applied to another record if either one was unposted. However, Accounting Seed now provides the ability to apply a Cash Disbursement or a Credit Memo to a Payable, even if any of the records are unposted.

To maintain system integrity, some applicable restrictions are relevant when applying an unposted Cash Disbursement or unposted Credit Memo to a Payable. Use the table below to learn about the restrictions.

Restrictions on a ...Description
Cash Disbursement When a Cash Disbursement is applied to a Payable, and either one is unposted, the following restrictions apply:
  • The Cash Disbursement and the Payable must have the same Ledger.
  • The Cash Disbursement and Payable must have the same currency - This is only applicable if Multi-Currency is enabled.
  • The Applied Accounting Period must be an open Accounting Period.
  • The Applied Posting Period cannot be in a period that is earlier than the posting period of either the related Payable or the related Cash Disbursement.
  • The Payable cannot be overapplied.
AP DisbursementAn AP Disbursement is created when a Cash Disbursement is applied to a Payable. A user-defined posting status should not be created or assigned as a default status on the AP Disbursement object. This will interfere with the posting of these records.

Credit Memo When a Credit Memo is applied to a Payable, and either one is unposted, the following restrictions apply:
  • The Credit Memo and the Payable must have the same Ledger.
  • The Credit Memo and the Payable must have the same currency - This is only applicable if Multi-Currency is enabled. 
  • The Credit Memo and the Payable must have the same Currency Conversion Rate - This is only applicable if Multi-Currency is enabled. 
  • The Applied Accounting Period must be in an open Accounting Period. 
  • The Applied Posting Period cannot be in a period that is earlier than the posting period of either the related Payable or the related Credit Memo. 
  • The Credit Memo cannot be overapplied.
  • The Payable cannot be overapplied. 
  • The Credit Memo cannot be applied to another Credit Memo.
