Overview

Many industries require creating Payables with a total of zero; such Payables are created when a receipt must be recorded, but no payable amount exists at the time the Payable is generated. For example, when parts that are scrapped or have no assigned value generate a Payable to record the receipt for inventory tracking and audit purposes. The actual AP entry is often a vehicle for completing and documenting the business process, rather than financial. This article explains how Accounting Seed manages their Payment Status so they do not display as "Unpaid".

Payment Status on Payables

The Payment Status field on the Payable is a system-controlled formula field. With the Summer 26 Preview release, the Payment Status on zero-amount Payables has been updated to reflect the business process required.

Payment Status values	When the value is set
Unpaid	Initial status when a payable is created When a payable with a line with a non-zero value is added and the payable is posted
Partially Paid	When the payable has a Cash Disbursement applied to it for less than the Payable's Total When the payable is paid (Pay action button) for less than the Total due
Paid	When a non-zero value Payable is fully paid When a Cash Disbursement is applied for the full amount due Zero-amount Payables: When a zero-amount Payable is posted (when the AP Disbursement Required* setting is Off)* When a zero-amount Payable is posted with at least one Cash Disbursement applied to it (when the AP Disbursement Required* setting is On)*

Configure the AP Disbursement Required Setting

When to enable this setting

If your business requires that a Cash Disbursement be applied to a zero-amount Payable before it can have the Payment Status of Paid, enable this setting. See the next section below to enable it.
If you require your zero-amount Payables to have the Payment Status of Paid as soon as they are posted, you do not need to enable this setting.

To enable this setting

Navigate to Accounting Home > Setup menu > click Enablements.
Click the pencil icon to edit the page.
Locate the Paid Payment Status on $0 Payables section.
Toggle AP Disbursement Required to On.
Click Save.
