Overview

The Financial Reports Hub has a dynamic grid where users can change periods, dimensions, and groupings on the fly without rerunning reports (similar to pivot tables). Easily compare periods, quarters, or years side-by-side, and compare various dimensions (e.g., regions) simultaneously. Drill down into any amount field to view the underlying transactions and navigate to related Transaction and Source records.

Your org must have the Financial Suite Winter '26 version 3.363 or later installed to use this feature.

Report Categories and Types

Reports are organized by Report Category, Report Type and Report Folders. Each Report Category has out-of-the-box Report Types that you can use as is (View Reports) or make copies with grouping, filtering, and formatting preferences.

Report Folders

Report Folders allow you to organize and manage financial reports. Use the Report Folders section in the left panel to create, navigate, and manage folders.

Report Folders Panel

The left panel includes a Report Folders section with the following sub-items:

• All Report Folders: Shows all folders you have access to.
  
• Created by Me: Shows folders you created.
• Click a folder name to view its reports.

The selected folder name appears indented under All Report Folders as a breadcrumb. Clicking another left panel item clears the breadcrumb and updates the report list.

Note: Search is scoped to the current view. When viewing reports, search finds reports by name. When viewing folders, search finds folders by name.

Create a Report Folder

1. Click the New Report Folder button (to the left of New Financial Report).
2. In the New Report Folder window:
   1. Type a Report Folder Name (required; must be unique).
   2. (Optional) Type a Description.
   3. (Optional) Select Make this folder my default folder where reports are saved.
3. Click Save.

Note: There is no limit on the number of folders you can create. Folder names longer than 50 characters are truncated in the list view.

Folder Grid

When viewing a folder list, the grid displays the following columns:

• Report Folder Name: The folder name (clickable). The number in parentheses shows the count of reports in the folder.
• Created By
• Last Modified By
• Last Modified Date

Folder Actions

Each folder row includes a dropdown with the following actions:

• Rename: Updates the folder name. The name must be unique.
• Move: Moves all reports in the folder to a different folder. Select the destination folder from the dropdown.
• Delete: Permanently removes the folder. The folder must be empty before it can be deleted. Use Move to relocate reports first. The out-of-the-box Financial Reports folder cannot be deleted.
• Default: Sets the folder as your default folderfor saving new reports. This is a per-user setting. Your current default folder is indicated by an icon in the folder list.

Important: The out-of-the-box Financial Reports folder is the initial default for all users. Your default folder reverts to Financial Reports only if your current default folder is deleted.

Create, View and Delete Reports

Create a New Report

New reports are created by modifying out-of-the-box report types or other existing reports. Once all setup steps have been completed, follow these steps to create a new report:

1. Navigate to the Financial Reports Hub and select the Financial Reports tab.
2. Click the New Financial Report button.
3. In the New Financial Report window:
   1. Select the Report Type.
   2. Type a Report Name.
   3. (Optional) Type a Description.
   4. Select a Report Folder to save the Report to.
4. Click Save.

After saving, you are returned to the Financial Reports list view.

Note: If your selected report includes Gross Margin (GM), EBITDA, or Other Income or Expense (OIE), your Revenue and Expense GL Accounts must already be updated with these fields before viewing. See the Financial Reports Hub Setup article.

General Ledger Drill Down Report

Drill down is available for amount fields composed of monetary calculations in reports you have created. It allows you to view the transactions used to compose the total you see. From a GL Drill Down report, click Name or Source to navigate to the related Transaction or source record. If your cursor converts to the hand symbol when you hover over it with your mouse, the field can be drilled into.

Important: Drill Down reports are temporary. If you do not save the report, the link is permanently deleted after 24 hours or when your session times out.

After you have created a report:

1. Click the amount field total you are drilling down to. A new report named General Ledger Drill Down +date/time is created.
2. (Optional) Click Save to save the report. Changes to this report can only be made to a saved version.
3. Return to the Financial Reports tab and refresh the page. The drill-down report will not appear in the list until the page is refreshed.
4. Select your Drill Down report from the list, then click View Report to view or edit.

Drill down to a Transaction or Source record

The following fields in a GL Drill Down report link to related records:

• Name: Opens the related Transaction record.
• Source: Opens the related source record.

View a Report

You can view an out-of-the-box report or one that you previously created.

1. Navigate to the Financial Reports Hub and select the Financial Reports tab.
2. To find a report use the filters under Financial Reports, Financial Report Categories or Report Folders on the left panel or use the Search box to search by report name (search results are based on what's selected in the left panel).
3. Select the report in the Financial Reports list.
4. Click View Report.

Delete a Report

You can delete one or multiple reports at a time from either a Report Category, Report Type or Report Folder.

1. Navigate to the Financial Reports Hub and select the Financial Reports tab.
2. In the left panel under Report Category, Report Type or Report Folder navigate the the report(s) you would like to delete.
3. Select a report by clicking one or multiple reports under the Report Name column to the right. You'll see the Delete Report button turn to blue once a report is selected.
4. Click Delete Report.
5. A dialog box will open "Are you sure you want to delete the selected report? This action cannot be undone." Click Delete or Cancel.
   

Note: The button is enabled only when you have delete rights on all selected reports (as the report owner, a Salesforce Admin, or with Manage access to the report folder).

  

Grid Overview and Functions

In the interactive grid, group rows and columns by dragging and dropping fields to customize the report view.

Grid Header

The Header section of the grid includes:

• Home button: Returns you to the Financial Reports Hub.
• Report Name
• Report Type
• Report Setting: Use the drop-down list to change the applied Report Settings.
• Data Refreshed: Shows the time of the last data refresh for the report type.
• New Financial Report button: Use this to create a new report.
• Save

Save Report Options

Any Data Refresh (scheduled or on demand) refreshes all data in all reports. Export a report if you need a point-in-time view. Use Save As to create multiple versions and save views to avoid configuring reports again.

• Save
• Save As: You are prompted to enter a Report Name, optional Description and Report Folder. Selecting a different folder creates a copy in that folder. The original report remains in its current folder.
• Export
• Edit: Edit the name, description, and Report Folder of the current report. Changing the Report Folder and saving moves the report to the selected folder.
• Delete: Permanently removes the current report. You are prompted to confirm before the report is deleted.

File Export Options

• File Format: .xlsx or CSV
• Export View
  • As Displayed: Exports exactly what you see (collapsed/expanded sections).
  • Expand All Rows: Expands all row groupings before exporting.
  • Collapse All Rows: Collapses all row groupings before exporting.
• Cell Value Format
  • Export Cell Values
    • Raw Numbers
    • Text Format

Note: For CSV exports, formatting options (raw vs. text) do not affect the output. The exported content is the same either way.

Rows, Columns and Grouping

Reports are displayed in a grid format allowing you to easily group rows and columns. Preferred grouping dimensions are set by expanding the Columns panel on the right and dragging and dropping your selections into the Rows or Columns area.

Columns Menu

The Columns menu allows users to customize reports by selecting the dimensions used to group data in columns or rows.

1. Click the Column menu to show or hide the menu.
2. Drag and drop fields into the rows grouping area on the table, or into the Row Groups section at the bottom of the panel.
3. Drag and drop fields into the column grouping area on the table, or into the Column Labels section at the bottom of the panel.
   

Total and Grand Total columns

The Columns panel includes two checkboxes for adding totals to your report. Both default to unchecked and are only available when Pivot Mode is on.

• Total: Adds a subtotal column at the end of each column grouping level.
• Grand Total: Adds a single Grand Total column as the rightmost column in the grid.

Note: Total and Grand Total settings are saved with the report when you click Save or Save As.

Column Availability by Report

Each report category has a list of fields displayed on the Columns panel. These vary by report. Only specific fields can be selected as columns.

Profit and Loss Report

• Current Period
• % of Revenue – Current Period
• Year To Date
• % of Revenue – Year To Date
• The remaining fields are for grouping only.
• When Pivot Mode is on, only Current Period, % of Revenue, Year To Date, % of Revenue – Year To Date, Variance, Variance %, Total and Grand Total fields can be added as Columns. None of the others can be used even if the checkboxes appear active.

Balance Sheet Report

• Amount
• The remaining fields are for grouping only.
• When Pivot Mode is on, Variance and Variance % fields can also be added as Columns.

Trial Balance

• Amount
• The remaining fields are for grouping only.
• When Pivot Mode is on, Variance and Variance % fields can also be added as Columns.

General Ledger Report

The General Ledger (GL) Report is only available in non-pivot mode. The following fields are selected by default when a GL report is created: Name, Date, Accounting Period, Amount, Debits, Credits, Balance.

Read Only fields (cannot be deselected) are: Name, Date, Balance, and either Amount or (Debits and Credits).

• If Amount is selected, Debits and Credits can be deselected.
• If Amount is not selected, both Debits and Credits must be selected.
• If Debits is selected, Credits must also be selected.
• If Credits is selected, Debits must also be selected.
• Amount, Debits, and Credits can all be selected simultaneously.

Optional fields: Amount, Accounting Period, Source, Description, Note, Debits, Credits, SubType1, SubType2, Ledger, Accounting Quarter, Accounting Year, GLAV1, GLAV2, GLAV3, GLAV4, Project, Product, Account, Source Type.

Note: Click Name to open the related Transaction record, or click Source to open the related source record.

Important: When running the GL report, always select consecutive accounting periods. Selecting non-consecutive periods may produce inaccurate running balances.

Variance and Variance Percent

The Variance and Variance % columns allow you to compare financial data across time periods directly in the grid. Use these columns to perform period-over-period, quarter-over-quarter, or year-over-year comparisons without building separate reports.

Note: Variance and Variance % are available on Profit and Loss (all types), Balance Sheet, and Trial Balance reports when Pivot Mode is enabled. At least two accounting periods must be selected in the Accounting Period filter before the columns will calculate. If only one period is selected, the columns appear but display no values.

Adding Variance Columns to a Report

In the Columns panel, drag and drop the Variance and/or Variance % fields into your report.

How the Calculation Works

• Variance is always calculated as the more recent period minus the older period. The order columns appear in the grid does not change this direction.
• When two accounting periods are selected, a single Variance column appears comparing the two periods.
• When three or more accounting periods are selected, the grid defaults to comparing only the last two periods. To show a variance for each adjacent period pair, enable the Variance per grouping setting that appears once multiple periods are selected. This calculates a variance between each consecutive pair of periods (for example, Period 6 vs. 5, and Period 5 vs. 4).

Using Time Groupings with Variance

When multiple time dimensions are used in column groupings (for example, both Accounting Period and Accounting Quarter), the variance calculation is driven by the larger grouping. For example, if Quarter is added as a column grouping, variance is calculated quarter-over-quarter rather than period-over-period, even if individual periods are also visible in the grid.

Ledger Comparisons (Budget vs. Actual)

Variance columns can be used with multiple ledgers selected in the Ledger filter (for example, an Actuals ledger and a Budget ledger) to display a budget-versus-actual comparison. This works best when a single time period or time dimension is selected. When multiple time periods are in use, the grid produces a separate variance for each period rather than an aggregate ledger comparison.

Report Filters

The Filters menu allows users to filter the data shown on the grid. Filters display all values available in the org, even values with no posted transactions. When there is no data for the selected filter, no data is displayed in the grid.

Click the Filter menu to show or hide the menu. Use Search (at the top of the panel) to find a filter. Each filter has its own secondary Search to find data.

Available Filters:

• Ledger: Shows all transactional and budget ledgers. Note: In a multi-currency org, only ledgers with the same currency can be selected.
• Currency: Shows all currencies available on the org. The list is only visible if multi-currency is enabled.
• Accounting Period: The hierarchical list is organized with years at the top level, followed by quarters, and then periods under each quarter. Select All allows the user to select or deselect all years, quarters, or periods at once.
• GLAV 1–4
• Project
• Product
• Account

Pivot Mode

The Pivot Mode toggle allows the user to enable or disable pivot mode. When Pivot is on, users can group table data by columns and rows. When Pivot is off, users can group table data only by rows.

Note: Pivot mode is not supported for the General Ledger Report. On P&L reports, YTD cannot be added as a column when Pivot Mode is on.

Gross Margin, Other Income and EBITDA

The Gross Margin, Other Income, and EBITDA report types are included with out-of-the-box reports. Once your Revenue and Expense GL Accounts have been updated with these fields, you can create or view any of the P&L reports with these additional display options.

Note: Either COGS or Other Income/(Expense) can be selected for a GL Account, but not both. EBITDA can be included with either selection. See Financial Reports Hub Setup for details.
