Your org must have the Financial Suite Winter '26 version 3.363 or later installed to use this feature.

Overview

When source documents like Billings, Payables, Journal Entries, Cash Receipts and Disbursements, etc. are posted, Accounting Seed posts Transactions to the General Ledger. To support a large number of Transactions and still generate reports quickly, the Data Manager refreshes and gets transaction data ready for reporting. Archived Transactions are also prepared for reporting.

From the Financial Report Data Manager tab, you can refresh data by either scheduling data refreshes or by running a refresh on demand. 

Note: When you refresh data, the data for all existing reports in the Financial Reports Hub is refreshed. If you need point-in-time reports, be sure to export and save those reports.

Data Manager View

The Data Manager table includes these columns:

• Report category - The names of Financial Report categories.
• Last refresh started - The date and time the most recent refresh job began.
• Last refresh completed - The date and time the most recent refresh job ended, regardless of success/failure.
• Last refresh status - The status of the last refresh run (Success or Failure). If a refresh has never run for the category, the status is N/A.
• Next run - The date and time of the next scheduled data refresh (if the scheduled refresh job is configured and active). 

Refresh Data 

You can refresh data on demand or schedule a data refresh.  You can also refresh data for a specific report category or all the report categories listed. 

The Refresh job updates the selected financial report category with the latest transactional data from the org whether you run the refresh immediately or schedule it. When the refresh starts, the Last Refresh Started field is updated with the start date and time. The Last Refresh Status changes to Running. When the job has successfully completed, the Last Refresh Status changes to Completed, and your report is ready to be viewed. Click the Financial Reports tab to open and view updated reports. 

While viewing your report, the Data Refreshed field displays when the most recent refresh was run on the related report category.

Refresh Data Now

  Refresh can be run on-demand: 

1. Select the Report Categories to be refreshed.
2. Click the Refresh Data Now button.

When the refresh starts, a message confirms the refresh has begun and once the Last Refresh Status updates to Completed, you can view the report related to this category to see the latest information.

Note: If the Refresh Job fails, the Last Refresh Status changes to Failed - Retry Scheduled. If the scheduled refresh job is enabled, an attempt is made to retry the refresh.

Schedule Data Refresh

Use Schedule Data Refresh to refresh data on a schedule.

1. Select the Report Category (or categories) you are scheduling. 
   Note: Refresh can also be scheduled from the row action menu for a single category.
2. Click the Schedule Data Refresh button. 
   Turn Enable this Data Refresh Schedule on.
3. For Schedule By, select refresh frequency of Hour or Week. 
   If you select Hour:
   1. For Start at, select the start time of the refresh.
   2. For Run every, specify the hourly intervals for the refresh. Note: you cannot schedule a refresh to run more frequently than every 4 hours.
   3. Select the days of the week on which the refreshes are to run. 
   4. Click Schedule.

If you select Week:

1. For Start at, specify the start time for the refresh.
2. Select the days of the week on which the refresh is to run. 
3. Click Schedule.

The Next Run field is updated with the next date and time a refresh job is scheduled.

Remove a scheduled Refresh

• A scheduled job can be removed using the Unschedule row action in the menu for the category.
