Overview

The Automated Job Results Exception Report shows the records that failed to complete as part of an automated job, so you can focus on exactly what needs attention. Each report includes the reason a record failed and a hyperlink to the affected record, so you can correct the issue before the next scheduled run.

Prerequisites

• Automated Job Results (object API name: AcctSeed__Automated_Job_Results__c) must already be configured, and at least one automated job must have run. See Automated Job Results Configuration Setup.
• You need access to the Automated Job Results tab and to Task records to view Exception Reports.

Accessing an Exception Report

You can open an Exception Report from the Automated Job Result screen, or from the Automated Job Results Dashboard on the Accounting Dashboard.

You can also reach the same reports through Salesforce Reports. From Accounting Home, select Run Reports > Custom > Management Reports, or select the Reports tab directly. From there, either search for the report you need, or navigate to the Accounting Report folder and scroll to find the report named "Exceptions: [Job Name]," for example, "Exceptions: Recurring Billing."

The Automated Job Results Exception Report is available for the following jobs:

• Automated Email Billing
• Cash Receipt Void
• Consolidations Routine
• Large Data Optimizer Post – Billings
• Large Data Optimizer Post – Journal Entry
• Large Data Optimizer Post – Payable
• Large Data Optimizer Unpost – Billings
• Large Data Optimizer Unpost – Journal Entry
• Large Data Optimizer Unpost – Payable
• Merchant Download
• Recurring Billing
• Recurring Journal Entry
• Recurring Payable
• Recurring Period Task
• Sched/Async Post Unpost - CD (Cash Disbursement)
• Scheduled Post (for each job that can be scheduled)

Note: A task is created for each exception, owned by the user who created the automated job. View tasks from your Salesforce homepage or from the App Launcher under Task. All tasks display with a Status of Completed, since this reflects that the task record was generated, not that the underlying record processed successfully; review the Subject and Comments for the actual result. Exception Reports are not currently available for the Scheduled Bank Download job or the NPSP Opportunity Journal Entries job.

Exception Report Column Headings

Column headings vary by report, but every Exception Report always includes:

• Automated Job Results Name: the job name from the Automated Job Results record. This is a hyperlink to the job results record, and you can sort the column in ascending or descending order.
• Date: the date the automated job ran. Automated jobs run daily or nightly based on the time you selected for each job, and you can sort this column in ascending or descending order.
• Subject: an error message that indicates why the record failed. The Subject can also include a Warning message. For example, if you run the Merchant Download job and a Master Billing's related Billing Cash Receipt (BCR) fails to create, the Exception Report includes a task with a Subject of Warning related to the failed BCR. A Warning message does not affect the Automated Job Results Succeeded, Failed, or Processed count.
• Comments: a statement identifying why the record failed.
• Created Date: the Task record's creation date, which sorts records in descending order.

The Job Type Scheduled Post, in Automated Jobs Results, includes a separate hyperlink for each automated job. Click a hyperlink to open the related Exception Report.

For example, clicking the first hyperlink opens the Exception Report for the Billings process, which includes the Date, Billing number (a hyperlink to the Billing), Subject, Comments, and hyperlinks to the Customer Account Name, Accounting Period, and Ledger.

Important: Up to 2,000 rows of results can display on a report. If you suspect more failures occurred than are shown, contact Accounting Seed Support.

Steps to Review an Exception Report

1. From the navigation bar, select Automated Job Results. If it isn't available on your navigation bar, click the More drop-down list to find it, or search for it from the App Launcher. For setup instructions, see Automated Job Results Configuration Setup.
2. Select the All list view, or another list view you created, so you can see every job rather than only the ones you have recently opened.
3. Select an Automated Job Results Name from the list view.
   
4. Click the hyperlink to open the Exception Report. The report opens in a new tab and lists the Date, the related record's name, the Subject, and the Comments for each failed record. Click a record's name hyperlink to edit or view it directly.
   
5. Use the Comments to correct the issue on the related record. The record clears from the Exception Report once the next scheduled job processes it successfully.

Note: Exception Report data can be viewed by multiple users. As updates are made to correct issues, the daily/nightly automated job processes update or post records successfully, which clears them from the Exception Report.
