Overview

You can add or remove payment methods for customers at any time. Multiple payment methods can be added to each customer account. Accounting Seed supports credit card and ACH payment methods.

Note: AR Automation is available to all customers operating in US Dollars. To activate this feature, email licensing@accountingseed.com. Sola only supports USD.

Before You Begin

This article assumes:

• AR Automation is enabled and operating in US Dollars, with an active Sola merchant account. See AR Automation Overview or Sola Onboarding Process if this has not yet been set up.
• The Manage Sola Payment Methods button has been added to your Account page layout.

Add a Payment Method with a Credit Card or ACH Payment

1. Navigate to Accounting Home > Setup > Master > Accounts.
2. Select a list view (other than the Recently Viewed list view).
3. Click the account for which you want to add a payment method.
4. Click Manage Sola Payment Methods.
5. Select Credit Card or ACH Payment.
6. Under the Create New Payment Method section, complete the following:
   1. If more than one Payment Processor exists, click the Payment Processor drop-down list to select the appropriate one for this Account. Otherwise, if only one Payment Processor exists, it will automatically display in the drop-down list. If this payment method needs to be added to all active Payment Processors, repeat these steps for each Payment Processor.
   2. For a Credit Card, enter the Card Holder Name, the Credit or Debit Card number, CVV number, and the expiration month and year.
   3. If this is an ACH Payment, enter the Account Number and the Routing Number. Account Holder Name is optional.
7. Click Create Payment Method. You can set the new payment method as the default if the customer has more than one payment method on file. See Set a Default Payment Method.

Important: Storing one-time virtual payments is not supported. When a payment method is added, a verification process occurs that may trigger a security flag which prevents the card from being used. If a virtual card is saved, an error is expected. To process one-time virtual payments, use the Payment Links/PaymentSITE URL or complete the transaction through the Merchant Provider Portal.

Set a Default Payment Method

1. Navigate to Accounting Home > Setup > Master > Accounts.
2. Select a list view (other than the Recently Viewed list view).
3. Click the account for which you want to set a default Payment Method.
4. Click Manage Sola Payment Methods.
5. From the Manage Existing Payment Methods section, under the Action column, click Set as Default for the appropriate existing Payment Method.
6. Click OK. A checkmark will display in the Default column for the selected Payment Method.

Note: The selected default will be set for the Customer Account. Therefore, at any time only one credit card or ACH account can be set as the default across all Payment Processors.

Deactivate a Payment Method

1. Navigate to Accounting Home > Setup > Master > Accounts.
2. Select a list view (other than the Recently Viewed list view).
3. Click the account for which you want to update the payment method.
4. Click Manage Sola Payment Methods.
5. From the Manage Existing Payment Methods section, under the Action column, click the Deactivate hyperlink.
6. Click OK.

Note: Deactivating a payment method does not remove it from Accounting Seed or Sola.
