Overview

Before using Bank Direct Connect (BDC), existing Accounting Seed users must complete the configuration changes outlined below. These steps are required and should be completed before connecting any financial institutions.

In this article you will find:

• Prerequisites — Salesforce platform requirements, Accounting Seed requirements, and user permission requirements needed before getting started with BDC.
• One-Time Configuration — Three steps existing Accounting Seed users must complete before connecting any financial institutions, including enabling field tracking, configuring page layouts, and setting up permission sets.

Note: These changes are not applicable to users who are installing Accounting Seed for the first time. Skip to the Bank Direct Connect – Bank Settings article.

User Permission Requirements

Not all users have access to all BDC functions. The table below summarizes what each role can do.

Note: If your org uses custom permission sets, you must assign the "Import BDC Transactions" custom permission to any user who needs access to the Update All button, Import File button, or the Bank Settings tab. Additionally, ensure the Bank Account field has the correct Field Level Security (FLS) on the Cash Receipt and Cash Disbursement objects.

One-Time Configuration

New installations: If you are installing Accounting Seed for the first time, these steps are handled automatically. Skip to the Bank Direct Connect – Bank Settings article.

Existing Accounting Seed Users: If you are enabling BDC for the first time, you must complete the following one-time configuration steps before connecting any financial institutions.

Step 1 – Enable Allow Activities and Track Field History

Before completing Bank Settings, Allow Activities and Track Field History must be enabled on the GL Account Mapping object, and the Ledger field must be added to its page layout.

1. Click the Gear icon → Setup.
2. Click the Object Manager tab and search for 'GL' in the Quick Find box, then select GL Account Mapping.
3. From the Details page, click Edit.
4. In the Optional Features section, enable Allow Activities and Track Field History.
5. Click Save.
6. Click Page Layouts → GL Account Mapping Layout.
7. Drag and drop the Ledger field onto the layout.
8. Click Save.

Step 2 – Configure the Page Layouts

1. Add the Description field to the page layouts on the following objects: Cash Disbursement, Cash Receipt, Journal Entry Line, and Transaction.
2. Add the Check Number field to the page layouts on the Bank Transaction object.

Note: With BDC, the Bank Transaction object populates the Description field from our service provider or from a file import. The Description field on a Cash Disbursement, Cash Receipt, and Journal Entry Line will only be updated from a Bank Transaction if the Description was blank. If a Cash Disbursement, Cash Receipt, or Journal Entry Line already has a Description, it will not be overwritten. Additionally, The Check Number field on the Bank Transaction object is mapped to the Check Number field on the Cash Disbursement object.

Step 3 – Configure Permission Sets

Only users with the following permission sets can see and use the Update All button:

• AS Full Admin
• Accounting Manager
• Cash Out & Banking

Custom Permission Sets

If you have any custom permission sets, ensure that the Bank Account field has the appropriate Field Level Security (FLS) access on the Cash Receipt and Cash Disbursement objects. Additionally, the legacy Bank Direct Connect (BDC) tab should be removed from the relevant permission set so that your users will no longer see the obsolete BDC tab.

The custom permission "Import BDC Transactions" must be assigned to users who need access to the Update All button, Import File button, and/or the Bank Settings tab.
