Run Consolidations

The Run Consolidations action pulls data from your Transactional and Eliminations Financial Cubes into Consolidations Financial Cubes, making the data available for financial reporting in your Consolidations Ledgers. You can run consolidations at the parent ledger hierarchy level or for all levels in the ledger hierarchy. Once the job completes, you can run your financial reports on the consolidated information. If you use multi-currency, and have completed the required set up, then Foreign Currency Translations automatically run as part of this action.

  • The Last Period Closed field displays at the top of the Run Consolidations screen, populated with your most recently closed Accounting Period. If you have not closed any Accounting Periods, this field is blank.
  • The Date/Time Closed field shows when that period was closed.
  • The Expand and Collapse All buttons expand/collapse the ledger hierarchy rows in the grid.
  • The refresh button refreshes the information on the screen.
  • The Currency column displays if you have multi-currency enabled in Accounting Seed.
  • The Last Period, Last Run, Status, and Generated By columns are blank until you run a consolidation action. These columns are populated only for Consolidations Ledgers, not for child Ledgers.
  • The Last Period column on the data grid displays the Accounting Period you selected when running the consolidation action.
  • The Last Run column populates with the date and time when the consolidation action completed successfully.

Consolidation Options

When you run the consolidation action, you can choose between two options:

  • Run for Parent Consolidations: Consolidates Financial Cubes only on the immediate children of the selected top-level Consolidations Ledger. Use this option when you want to run consolidations only at the parent level.
  • Run Parent Consolidations with Children: Consolidates Financial Cubes for all levels in the Ledger Hierarchy, starting from the lowest child level and rolling up to the top parent. Use this option for a complete hierarchy consolidation.

Run Consolidations' Statuses

Once the Run button is clicked, the Status column displays one of the following values:

  • In Progress – the action is executing
  • Completed – the action completed successfully
  • Failed – the action encountered an error
  • Not Run – a failure at a higher level prevented this consolidation from starting

Important Notes on the Run Consolidations Action

  • The consolidation action can only run on a closed or archived Accounting Period. You cannot run it while an Accounting Period open, closed, or archived job is in progress.
  • Only one consolidation action can execute at a time. A warning displays if you attempt to start another action while one is already running.
  • Running the consolidation action deletes and recreates all Consolidations Financial Cubes for the selected Accounting Period. This action cannot be undone.

How to Run Consolidations

  1. Navigate to Accounting Home > Run Reports tab > Consolidations menu > Run Consolidations.
  2. (Optional) Click Expand All to view all Ledger Hierarchies in the tree.
  3. Click the down arrow next to the Consolidations Ledger you want to run, then select your consolidation option: Run for Parent Consolidations or Run Parent Consolidations with Children.
  4. In the modal that is presented, the last closed period defaults automatically. Click the Lookup icon to select a different Accounting Period. To select a different period, click the X and search for a closed or archived period.
  5. Click Run.
    1. The page displays "In Progress" status while the action executes.
    2. To refresh the page and monitor status changes, click the Refresh button (upper right, next to Collapse All).
    3. The status changes to Completed when the action finishes.

Result: When the action completes successfully, the Status column changes to Completed, and the Last Period and Last Run columns populate with the completion date and time.

Note: If you use Foreign Currency Translation, it automatically runs as part of this action. The action pulls data from both Transactional Ledgers and the Eliminations Ledger (if present).

Reporting Considerations

After running the consolidation action, consider these points when running financial reports:

  • Opening Balance on Trial Balance Report: In order for the Opening Balance to be populated on the Trial Balance report, run the consolidation action on the prior Accounting Period. Then, rerun the Trial Balance report for the Consolidations Ledger and the Accounting Period currently selected.
  • Report Timing: Run the consolidation action after all transactions are posted and before running period-end financial reports.
  • Available Reports: After running the consolidation action, you can generate financial reports using Standard Reports or Custom Reports.

Troubleshooting Consolidation Failures

Status Shows "Failed"

If the Status column displays Failed or Not Run, the consolidation action encountered an error. Follow these steps to identify the failure cause:

  1. Go to Accounting Home > Run Reports tab > Consolidations menu > Automated Job Results.
  2. Locate the failed job in the list. The job name starts with "Run Consolidations Routine."
  3. Click the job name to view the exception details. The Error Details field explains what failed.
  4. Alternatively, a task is automatically created for the user who started the action. Check your tasks for a Consolidations Routine Exception Report.

Common Failure Cause: Missing Exchange Rates

Most common consolidation failures result from missing or incorrect exchange rate configuration on GL accounts requiring currency translation.

If the error mentions currency, exchange rates, or translation, verify:

  • All GL Accounts with transactions in foreign currencies have Exchange Rate Types configured.
  • Exchange rates exist for the Accounting Period being consolidated.

If the Action Runs Long

If the Status remains "In Progress" for an unusually long time (longer than your typical consolidation duration), contact Accounting Seed Support. The process may need to be reset.

Financial Cubes

Accounting Seed summarizes GL data into Financial Cubes to accelerate financial reporting. Financial Cubes are created automatically during the Accounting Period close for Transactional and Eliminations Ledgers. When you run the consolidation action, Financial Cubes from all Transactional and Eliminations Ledgers roll up into Consolidations Financial Cubes for your Consolidations Ledgers.

When you re-run Consolidations for an Accounting Period, all existing Consolidation Financial Cubes for that period are deleted and recreated. This is an irreversible operation.

To view Consolidations Financial Cubes:

  1. Open the App Launcher and search for Financial Cubes.
  2. From the list view menu, select Consolidations (or another custom list view) to filter for consolidation data only.
  3. This data is available for running financial reports on your Consolidations Ledgers and Eliminations Ledgers.
