What are the different agents and what does each do?

We have three agents: Collections, Bill Pay, and General Ledger.  

The Collections Agent can analyze invoices, provide payment prediction insights, and help with real-time aging analysis. The Bill Pay Agent captures early payment discount opportunities, detects duplicate payments, and assists with prioritizing payments. The General Ledger Agent offers flexible posting and unposting processes and has intelligent transaction querying leading to a reduced time to close.

Why are there different agents for each Accounting area?

Within each agent is a set of topics. Salesforce has recommended we limit the number of topics an agent is trained on. Too many topics in a single agent can result in reduced processing times. Additionally, Salesforce recommends topics are designed based on function, or they may not be able to answer and act in a timely manner.  As a result of these limits and recommendations, we split our Agents and subsequent topics based on function.

 

Are each of the agents limited to the objects they can search?  

The agents are limited by the objects the user has access to.

 

Is my data shared outside of my org?

Salesforce will never share customer data – including any anonymized, de-identified, or aggregated data – with external parties, including partners or other customers. All customer data is treated with the highest level of confidentiality and is used strictly in accordance with contractual agreements and privacy policies. What are some best practices when asking the agent questions?

While the agents are trained to understand context, a best practice is to use the object, field names. and dates or date ranges where possible.  For example, "Find payables with a Due Date before Jan 15 " is likely to return better and more accurate results than "What payments are due next week?"  

The first prompt is more likely to find accurate results because the agent is sure to search for the ask, while with the second question, the agent may misinterpret the question and the timeline.

 

Can a query and action be combined in a single prompt?

It can, however this is not recommended for the most ideal results.  The agent performs best when the query is asked first and then the action asked as a follow up. For instance: "Find the November payable for Alpha Communications.", then, once the agent responds, prompt the agent to "add this to the payment proposal PP-11111.

 

How does the agent respond with widely used terms like "payments", "payments due", "invoice"?

While a good practice is to use the object name 'Billings', 'Payables', etc, the agent is trained on more widely used terms.  For example, the Collections agent understands "payments" to mean Cash Receipts whereas "payments due" relates to Billings.  Similarly, the Bill Pay agent understands "payments" to mean Cash Disbursements and "payments due" relates to Payables.

 

How does the agent handle permissions? If a user does not have access, how does the agent respond?

The agent uses the user's permissions to query and act on information. At times, the agent may ask the user to clarify or provide more details to check if the information can be queried or acted on. If a user prompts the agent for information that the user does not have permissions for, the agent may respond by saying no records are found, or that it was unable to complete the request.

 

Does the agent remember my questions or once I clear the conversation history?  

No, once the conversation history is cleared, the agent is unable to reference or recall previous actions, questions or answers.

 

How do the agents handle multi-currency questions like mathematical operations on Billings and Payables?

If the set of records being queried spans multiple currencies, the agent uses the Salesforce currency tables, not the AS Currency Conversion Rate on the record to do calculations.  This is a Salesforce limitation and is also how Salesforce reports are calculated.

As a result of this, asking the agent to, for example, "Sum the total of X billings" with different currencies could result in a different amount than the sum of those billing’s ledger amounts.

Do the agents have limits on how many results (or records) they respond with?

Yes. At the moment, a Salesforce limitation prevents agents from indicating when the result set exceeds 50 records. Keep searches more narrow to achieve the best results.

 

Which release do I have to be on and are there configurations?

You will need to be on the Summer 25 Preview 2 release version (3.348) or later.  See the Setup article for more information on how to set up the Accounting Agents.

 

We have different teams for AP, AR and GL.  How can I ensure that each team can only query and interact with agents in their own area?

We have one packaged permission set called Accounting Seed Agents.  You can clone this for each function, assign the relevant agent access in the custom permission set, then assign the custom permission set to individual users. The Setup article has more information on permissions.

 

Can I test the Agents in my sandbox?

Yes. Please be aware that consumption credits are still used in a Sandbox environment. Refer to the Setup article for all steps on how to set up Accounting Agents in a sandbox environment.

Collections

Can I customize the Collection Notice email that's sent to my customers?

Yes. Within the Accounting Agents package, there are two customizable email templates: Collection Notice Email Template and Collection Notice Payment Site URL Email Template. The Collection Notice Email Template is used to send a collection notice which includes the customers past due billing PDFs, whereas the Collection Notice Payment Site URL Email Template is used to send a collection notice which includes the customers past due billing PDFs and corresponding payment links. If customizations are desired, our recommendation is to clone the existing email template, and edit the cloned template instead of the original.  The email chooses which email template is used based on if there are payment links for that particular customer.

Instructions are as follows:  

1. Log into Salesforce and navigate to Setup.
2. Enter Classic Email in the Quick Find search textbox. Then, click Classic Email Templates.
3. Select Accounting Seed Agent Email Templates from the Folder drop-down list. Then, click the Email Template Name that you want to customize.
4. Click Clone and rename the Email Template with a Unique Name.
5. Edit the Description, click Save, and on the new Email Template Detail page, click Edit.
6. Edit the Email body and click Save.
7. Copy the name of your new Template.

The Collections PDF is a combination of the outstanding billing PDFs. The formats used on the outstanding billing PDFs are determined from the various Billing Format field on the Billing record.

General Ledger

Is there a limit to the number of records that the GL Agent can post/unpost at a time? Does this limit expand if Large Data Optimizer (LDO) is enabled?

An agent can only retrieve up to 50 records at a time. However, if the user has additional flows or triggers that run during posting, this number could be lower.  

When LDO is enabled, as long as the non-LDO line limits are not reached, the records can be posted/unposted. The agent will not be able to post/unpost if the number of lines is beyond the non-LDO limits.
