Overview

Accounting Seed supports the following methods of manually creating Journal Entries from a Recurring Journal Entry Template. For information on automating this, refer to the Automated Jobs article.

• Create a single Journal Entry from a single Recurring Journal Entry template
• Use the Recurring Journal Entries list view to create Journal Entries from Recurring Journal Entry templates.
• Troubleshoot creating a Journal Entry (JE) from a Recurring JE

Note: Accounting Seed restricts the number of Recurring Journal Entry Lines within a single Recurring Journal Entry to 1000 lines to prevent errors based on Salesforce limits when creating records. However, if you have the Large Data Optimizer feature enabled, the line limit is 20,000. Additionally, there is a limit set on how many records can be created at one time using the Create or Create & Post buttons on the Create Journal Entry intermediate screen. The limit is 1000 records for Recurring Journal Entry Lines.  

Create a Journal Entry from a Recurring Journal Entry Template

1. Select a Recurring Journal Entry template to use to create a Journal Entry.
   Note: Recurring Journal Entry templates are created in the Set Up a Recurring Journal Entry screen.
2. Once in the single Recurring Journal Entry, click Create Journal Entry. An intermediate screen opens for previewing the Journal Entry.
   Note: The Date on each Journal Entry Line will automatically default to the Next Journal Entry Date from the Recurring Journal Entry template. This date can be modified, if necessary.
3. If satisfied, click Create or Create & Post.
   
   When the Create or Create & Post button is clicked, if you have the Large Data Optimizer feature enabled, with more than one Journal Entry Line and there is no change to the Journal Entry Name or Journal Date, the default message displays to indicate the records will process asynchronously. If Create & Post was clicked, the records will post after the asynchronous job completes.
   
   Note: If the Journal Entry Name or Journal Date is changed, the Journal Entry header record will process immediately, with the Journal Entry Lines processing asynchronously. Later, you can review the Automated Job Results for details about the completed asynchronous job.
   
   Best Practice: It is recommended to have the daily Scheduled Post job created, which provides the ability for all Journal Entries that have a posting status of “Approved” to automatically post based upon the Next Run Date and Preferred Start Time. 
   

Use the Recurring Journal Entry List View to Create Journal Entries from Recurring Journal Entry Templates

1. Navigate to the Recurring Journal Entries list view.
2. On the "All" list view, select the checkbox next to each Recurring Journal Entry that should be used to create Journal Entries.
   Note: In the list view, Accounting Seed supports batch creation of up to 200 Journal Entries from Recurring Journal Entry templates.
3. After selecting all the Recurring Journal Entries desired (indicated by the checked boxes), click Create Journal Entry. An intermediate screen opens for previewing all the Journal Entries about to be created.
   Note: The Date on each Journal Entry Line will automatically default to the Next Journal Entry Date from the Recurring Journal Entry template. This date can be modified, if necessary.
4. If satisfied, click Create or Create & Post to create these records.
