Overview
The Purge Data screen allows you to purge old information that is no longer needed and helps to manage system data storage levels. The data that can be purged using this screen includes the following:
-
Purge AP Aging History - search for and select the Accounting Period for which you want to purge data. All Accounts Payable aging records in the selected period and ALL prior periods will be purged once the Purge button is clicked.
Note: To rebuild these records, all Accounting Periods selected to be purged would need to be re-opened and re-closed.
-
Purge Billing Aging History - search for and select the Accounting Period for which you want to purge data. All Billing aging records in the selected period and ALL prior periods will be purged once the Purge button is clicked.
Note: To rebuild these records, all Accounting Periods selected to be purged would need to be re-opened and re-closed.
-
Purge Financial Report Results - click the Purge button to remove All financial report results.
-
Purge Zero Balance Financial Cubes - click this Purge button to remove All financial cubes with a zero balance.
-
Purge Automated Job Results - click the Calendar icon to select a Before Date for purging the Automated Job Results data. The Automated Job Results are the records (information on processed, succeeded, and/or failed records) created from the Automated Jobs. Once the Purge button is clicked, all data (created from Automated Job Results) before the selected date will be purged.
- Purge Inventory Balance History (if the Orders & Inventory package is installed) - click the Calendar icon to select a Before Date for purging the Inventory Balance History data. The Inventory Quantity Available screen includes a Create Inventory History button, which this Purge option will purge the records. Once the Purge button is clicked, all Inventory Balance History data before the selected date will be purged.
Note: Create Inventory History provides a point in time quantity that can be used for inventory reconciliations. - Reset LDO Source Document Interim Posting Status – if you have the Large Data Optimizer feature enabled, click this Purge button when the Posting job is no longer running or has been aborted, and a record(s) stuck in the Posting in Progress or Unposting in Progress status will reset to the “Approved” Posting Status.
Important: This purge process does NOT purge the record(s). It will merely reset the Posting Status back to “Approved.” This is true for records stuck in Posting in Progress or Unposting in Progress.
An email will be sent to the email address of the user who ran the purge, which will include details about the purge.
