Overview
A Billing Rate is the amount a company charges a customer per hour of work for services rendered. Billing rates in Accounting Seed can include the following:
- Labor Billing Rate - This is the billing rate for the project or project task.
- Overtime Billing Rate - This is the billing rate for overtime pay, which will be used if the time card line is marked as overtime.
- Expense Markup - This is a percentage markup on billable expenses from an expense report. If a markup is not used, this can be zero.
Billing rates in Accounting Seed function based upon three hierarchy levels in the following order.
- Level 1 - If the selected project task includes a billing rate, it will override the billing rate on the project and on the employee/user.
- Level 2 - If the project task does not include a billing rate, and the project does include a billing rate, it will override the billing rate on the employee/user.
- Level 3 - If a billing rate does not exist on the selected project task or on the project, the billing rate on the employee/user will be used.
Do you want to:
Add an Employee/User Billing Rate
- From the Gear icon, click Setup.
- Select the Object Manager tab.
Note: Click here to view the above image in full screen. - Enter the word “user” in the Quick Find textbox. Then, click User.

- Click User Layout.
- Select the Default Billing Rate. Then drag and drop it into the User Detail section under Additional Information.

- To add the Default Billing Rate on a User Detail record, click the Home tab.
- Under Administration, click the down arrow to expand Users. Then, click Users.
- Click the Full Name link for the user whose detail you wish to edit.
- Click Edit.
- Scroll to the Additional Information section, and enter a Default Billing Rate for the user.

Add a Project Billing Rate
- Navigate to Accounting Home and click the Setup tab. Then, under the Master menu, click Projects.
- Select a list view (other than the Recently Viewed list view).
- Select a project.
- Scroll down the project record to the Billing Rates related list. Then, click New.

The New Billing Rate dialog box displays. - Enter the following data fields:
Note: Required fields display with a red asterisk.
- Employee - The employee name associated with this billing rate.
Note: Employees are set up as Salesforce users. - Project - The selected project displays.
- Project Task - Leave this blank if this billing rate is for the overall project. Otherwise, select a task if this is a billing rate for a specific project task.
- Labor Billing Rate - This is the billing rate for the project.
Note: A project can include more than one Labor Billing Rate. Use the New Billing Rate dialog box to add additional billing rates, as necessary. Each new rate will display in the Billing Rates related list on the project record. Also, the most recently created billing rate that was added to the project will be used as the billing rate.

- Expense Markup - This is a percentage markup on billable expenses from an expense report. If a markup is not used, this can be zero.

- Click Save.
Add a Project Task Billing Rate
- Navigate to Accounting Home and click the Setup tab. Then, under the Master menu, click Projects.
- Select a list view (other than the Recently Viewed list view).
- Select a project.
- Scroll down the project record to the Project Tasks related list, and select a task.
Note: Click here to view the above image in full screen. - Scroll down the project task record to the Billing Rates related list. Then, click New.

The New Billing Rate dialog box displays. - Enter the following data fields:

- Employee - The employee name associated with this billing rate.
Note: Employees are set up as Salesforce users. - Project -Search for the project associated with this specific project task.
- Project Task - The selected project task displays.
- Labor Billing Rate - This is the billing rate for the project task.
Note: A project task can include more than one Labor Billing Rate. Use the New Billing Rate dialog box to add additional billing rates, as necessary. Each new rate will display in the Billing Rates related list on the project task record. Also, the most recently created billing rate that was added to the project task will be used as the billing rate.
