AP Automation is available to all customers. Of the four features, Automated Payment Distribution or Payment Services is only available to customers operating in US Dollars. To activate AP Automation, please send an email to licensing@accountingseed.com.
Overview
The Payment Proposal feature provides a way to help businesses with a large number of bills that require payment to determine the “who, what, and when” to pay these bills from one central location in our user interface. If a business has discounts for early pay dates from a Vendor, this feature allows you to optimize paying those bills to actually receive the discount. With Payment Proposal, you can quickly and easily search for Payables to add to a batch for paying, and view a running total for the amount that will be paid in that batch. You can then send this “batch” of Payables for approval and once approved, send them along for payment processing.
Aggregate by Payee Checkbox
There are two basic modes of using Payment Proposals:
- Aggregate by Payee (checkbox is not selected): This is the default. Do not select this checkbox if you only want to pay Payables and create separate Cash Disbursements for each. Cash Disbursements will be created and then, the AP Disbursements will be created to record the application to the respective Payables.
Important: Credit Memos cannot be added when the Aggregate by Payee checkbox is not selected.
- Aggregate by Payee (checkbox is selected): Select this checkbox if you want to pay your Payables aggregated by the Vendor and apply existing Credit Memos in the same action. In addition to the Cash Disbursements and the AP Disbursements being created, AP Credit Memo records will also be created to record the credit applications.
Payment Proposal Lines and Field Sets
When you add Payables/Credit Memos to a Payment Proposal, they will display as Payment Proposal Lines in the Advanced Line Manager (ALM). Payables and Credit Memos can be added to a Payment Proposal by using one or more of the following ways:
- Basic Search – this is a fundamental starting point to search for Payables and Credit Memos
- Advanced Search – this is used with Salesforce reports to include more complex search criteria
- Add Row – click this button on the Advanced Line Manager (ALM), which is a part of the Payment Proposal Line data grid to add any one-off Payables.
Field Sets
The columns that display in the Advanced Line Manager (ALM) are based upon the three field set names listed below, which are on the Payment Proposal Line object. These field sets can be modified to adjust the column headings that display in the ALM. For more information, refer to the Edit a Field Set article.

Aggregate Payment Proposal Lines – used in conjunction with the Aggregate by Payee checkbox on the Payment Proposal screen. When the Aggregate by Payee checkbox is selected, this field set refers to the parent row as in the sample screen in the bullet point below.

Detail Payment Proposal Lines - when the Aggregate by Payee checkbox is selected, this field set refers to the child (expanded) row(s).

Credit Memos on a Payment Proposal
Credit Memos can be included on a Payment Proposal if you would like them to be applied to your Payables and have any remaining amount due on the Payables to be paid as Cash Disbursements. When you click the Pay button on the Payment Proposal screen or schedule the Pay Payment Proposal job to run in the Automated Jobs, the AP Credit Memo records will automatically be created to capture the credit application, as well as create both Cash Disbursements and AP Disbursements to record the cash application.
If you have a Credit Memo(s) that you want applied to a Payable(s) on a Payment Proposal, and the Aggregate by Payee checkbox was NOT selected when the Payment Proposal was created, be sure to select this checkbox before you attempt to add any Credit Memos included in your search results.

The data grid on the Advanced Line Manager (ALM) will change to include the ability to expand and collapse parent and child rows as in the sample screen below.

If you selected a Credit Memo(s) from the search results to be included on the Payment Proposal, it will display in the expanded drawer.

The system will automatically apply the Credit Memo to the oldest Payable in the Advanced Line Manager, and if any credit amount remains, it will be applied to the second oldest Payable, and so on.
Note: If it is important to you to apply your credit notes to specific Payables, we recommend that this be performed outside of the Payment Proposal screen. You can display the Credit Memo in the Payable screen. Then, click Apply/Unapply Credit Memo. After you apply the Credit Memo to a specific Payable, when the Payable is added to the Payment Proposal, the remaining Balance will be reduced by the application of the Credit Memo.
Payable Discounts on a Payment Proposal
Payment Proposals support the ability to include discounts on your payments. Using the existing Payable Discount terms available on the Vendor record (Payable Discount Days Due and Payable Discount %), the discount is automatically calculated and will display on the Payment Proposal Line (Payable). Additionally, if a Discount “override” amount was manually entered on the Payable, this will display as the Discount Amount. The Discount Amount field can also be manually modified directly from the data grid on the Payment Proposal Line (click the Pencil icon to edit the Discount Amount).

When the Payment Proposal is processed (Pay button was clicked or the scheduled job was run) and the resulting Cash Disbursement is posted, a transaction will be posted to the Default Vendor Payment Discounts GL Account for that Ledger. This is similar to the pre-existing discounts functionality on the Pay screens.

Approved Payments
Best Practice: When using Payment Proposals, we recommend creating a Salesforce Payment Approval process to strengthen internal controls around your spending. For more information, refer to the Approval Process when using Payment Proposals article.
Once you have a Payment Approval process set up, and have added the Submit for Approval button, you can click it to send the Payment Proposal for review. When the Payment Proposal has been approved for payment, the approval process should update the Status field on the Payment Proposal to Approved. If you do not have a Payment Approval process, once the payments on the Payment Proposal are approved, you can manually change the Status field to Approved.
Note: The Set Cash Disbursement to Approved setting is available in the Payment Settings screen, which you can use to have the Cash Disbursements on approved Payment Proposals automatically update to a Posting Status of Approved. Or, turn this setting off if you do not want the Cash Disbursements to automatically update to Approved. When this setting is turned off, Cash Disbursements that are created from Payment Proposals will be set to your default Posting Status. For more information, refer to this setting in the Payment Settings screen.
Payment Records & Automated Payments Distribution
Once a Payment Proposal has gone through the approval process and has been set to the Approved status it is ready to be processed further. The next step is to pay the Payment Proposal, which begins with a background job to create the required records and applications. You can do this in a few ways:
- Schedule the Pay Payment Proposal job to run in the Automated Jobs.
Note: This will process all approved Payment Proposals. - Run the same job On Demand from the Automated Jobs.
Note: This will process all approved Payment Proposals. - Click Pay on the Payment Proposal record to create records and applications for only the selected Payment Proposal.
As a result of clicking Pay or using the Pay Payment Proposal automated job, the following records will be created:
- Cash Disbursement(s) to record payment

- It is created in the Approved Posting Status.
- The Payment Date selected on the Payment Proposal is set as the Disbursement Date on the resulting Cash Disbursement.
- The selection that was made in the Type field on the Payment Proposal will automatically be selected as the Type on the Cash Disbursement.

- If the Payment Proposal Type is set to Payment Services, the background job will also look at the Vendor record for the Payment Services Type (Virtual Card, ACH or Check) that was set when the Vendor was enrolled in Edenred Pay. This value will be set in the Payment Services Type field on the Cash Disbursement.
- If the Payment Proposal Type is set to Payment Services, the background job will also look at the Vendor record for the Payment Services Type (Virtual Card, ACH or Check) that was set when the Vendor was enrolled in Edenred Pay. This value will be set in the Payment Services Type field on the Cash Disbursement.

- AP Disbursement(s) to record the application of the payment to the specific Payable(s).
- AP Credit Memo(s) to record the application of credit if a Credit Memo was included in the Payment Proposal.
Automated Payment Distribution/Payment Services
When Payment Services is selected in the Type field on a Payment Proposal, as mentioned above, this same Type is also set on the Cash Disbursement. In addition, the Vendor’s preferred Payment Services Type is also set on the Cash Disbursement. This indicates to the system that the Cash Disbursement is ready to be paid by Edenred Pay. For more detailed information, refer to the Payment Services article.
Create a Payment Proposal
- Navigate to Accounting Home and click the Create Entries tab. Then, under the Expenses menu, click Payment Proposals.
- Click New. The New Payment Proposal dialog box displays.
- If using Payment Services, from Type drop-down list, select Payment Services.
Note: If you have Multi-Currency enabled, when Payment Services is selected as the Type, currently only USD can be selected from the Currency drop-down list. Also, once the Payment Proposal has been saved with a specific Currency, when there are one or more lines on the Payment Proposal, the Currency field cannot be changed.
Note: If you are not using Payment Services, but instead using a printer to print checks or pay bills on a bank site, select Check or Electronic from this drop-down list.
- Click the Calendar icon to select a Payment Date.
Note: If using Payment Services, you can select a future date and the payment will be processed on the date selected.
Note: If you have a Payment Approval process, be mindful of that process when selecting the Payment Date.
- The Ledger defaults to the Ledger that is on the org. If necessary, click X to delete the default Ledger, and then select a different Ledger from the drop-down list.
- Search for and select the Bank GL Account.
Note: If using Payment Services, select only the Bank GL Account that is associated with the Bank Account record enrolled with Edenred Pay. The selected Bank GL Account must be one that is already enrolled in Payment Services with Edenred Pay.
The Status field controls what can be done with a Payment Proposal. This field defaults to In Progress. The Approved status denotes that this Payment Proposal is ready to be paid.
Best Practice: When using Payment Proposal, we recommend setting “In Progress” as the default for this field. This field should NOT be set to “Approved” until you are actually ready to pay the batch.
- If you have a Credit Memo(s) that you want to be applied to a Payable(s) on this Payment Proposal, select the Aggregate by Payee checkbox. For more details, refer to the Aggregate by Payee and/or Credit Memos on a Payment Proposal information in this article.
Note: Once the Payment Proposal is saved, if you determine later that you have a Credit Memo that needs to be added, if this checkbox was not selected, you can manually edit the record to select the Aggregate by Payee checkbox.
- Click Save. The Payment Proposal record displays with header information, and the Payment Proposal Line section, which is the Advanced Line Manager (ALM). The ALM will display the Payables that you would like to include in this Payment Proposal batch.
Note: On the Payment Proposal record, a message displays at the top left below the Payment Proposal number, which provides helpful information for using the Detail tab and the Search tab.Note: Click here to view the above image in full screen.
Use the Basic Search to add Payables/Credit Memos
If you are starting from the last step in the previous section, continue with step 1 below. Otherwise, navigate to Accounting Home | Create Entries | Expenses, and click Payment Proposals. Then, select a Payment Proposal and continue with step 1 below.
- Click the Search tab to search for and select Payables and/or Credit Memos to be included in this Payment Proposal batch. The Basic Search page displays.

- Select your filter criteria.
Note: You can enter filter criteria that will return search results for Payables and/or Credit Memos.
Note: If you have Multi-Currency enabled, the ISO currency code will display next to the Basic Search. Currently, only USD will display here.
The table below provides a listing of the Basic Search fields and descriptions.
Note: Many of the fields on the Basic Search are the same field names that display on the Payable record, along with additional fields to filter your search results.
Field Name Description Conditions Met

- All – every condition (search options selected) must be met in order for related results to be returned.

Search for and select a specific Vendor Account record. Otherwise, leave this field blank to include all or any Vendors.

Click the drop-down list to select one of the statuses below. Posted will display as the default status.

On-Hold Select this checkbox if you want to include Payables that are on hold. However, keep in mind that while you will be able to view the on hold Payables, these will not be eligible for payment and will not be processed (Cash Disbursements will NOT be created).

Payable Name This field works in conjunction with the Payable Name Operator. If you want to include a name, enter the system assigned name for the Payable record, such as AP-19668. Otherwise, leave this field blank. Payee Reference Operator

Payee Reference
This field works in conjunction with the Payee Reference Operator. Typically, this is the Vendor invoice number. If you want to include a reference number, enter it here. Otherwise, leave this field blank.

Click this drop-down list to select one of the following operator conditions. Equals is the default operator.

Alternate Payee
This field works in conjunction with the Alternate Payee Operator. If the Vendor record has an Alternate Payee for which you want to search for based upon the selected operator, enter it here. Otherwise, leave this field blank.
Proprietary Payable Number Operator
Click this drop-down list to select one of the following operator conditions. Equals is the default operator.

Proprietary Payable Number
This field works in conjunction with the Proprietary Payable Number Operator. When populated on a Payable, it will print under “Our Reference” in the remittance section of the check. If not populated, “Our Reference” will display the Salesforce system-generated number. Enter the number here if you want to search based upon the selected operator. Otherwise, leave this field blank.
Payment Proposal Date This defaults to today’s date. However, you can click the Calendar icon to select a date that will be used in conjunction with the selected Relative filter. For example, if you selected to filter on Payables with a Relative Due Date for the next 2 months, and today’s date displays in this field, the search results will return Payables with a Due Date for the next 2 months starting from today. Relative Due Date
Based upon the Payment Proposal Date, make a selection to filter Payables in relation to the Payment Due Date. Selections in this drop-down list include the following:
- Today
- Tomorrow
- Yesterday
- Next n Days – if this option is selected, enter the next number (n) of days for which you want to search in the Relative Due Date Number (n) textbox that displays to the right of this field.
- Last n Days – if this option is selected, enter the last number (n) of days for which you want to search in the Relative Due Date Number (n) textbox that displays to the right of this field.
- This Week – this is the default selected for this drop-down list.
- Last Week
- Next n Weeks– if this option is selected, enter the next number (n) of weeks for which you want to search in the Relative Due Date Number (n) textbox that displays to the right of this field.
- Last n Weeks – if this option is selected, enter the last number (n) of weeks for which you want to search in the Relative Due Date Number (n) textbox that displays to the right of this field.
- This Month
- Last Month
- Next n Months – if this option is selected, enter the next number (n) of months for which you want to search in the Relative Due Date Number (n) textbox that displays to the right of this field.
- Last n Months – if this option is selected, enter the last number (n) of months for which you want to search in the Relative Due Date Number (n) textbox that displays to the right of this field.

Relative Due Date Number (n)
If the Relative Due Date was selected with a Number (n), enter the desired number here. For example, if you selected “Next n Months” to view Payables with Due Dates for the next two months, the number 2 would be entered in this field.
Relative Issue Date
Based upon the Payment Proposal Date, make a selection to filter Payables in relation to or in proportion to the Payment Issue Date. The default for this field is “None.”
Note: The available options in this drop-down list are the same as the ones in the Relative Due Date drop-down list.
Relative Issue Date Number (n)
If the Relative Issue Date was selected with a Number (n), enter the desired number here. For example, if you selected “Next n Months” to view Payables with Issue Dates for the next two months, the number 2 would be entered in this field.
Relative Early Pay Date
Based upon the Payment Proposal Date, make a selection to filter Payables in relation to or in proportion to the Early Pay Date. The default for this field is “None.”
Note: The available options in this drop-down list are the same as the ones in the Relative Due Date drop-down list.
Relative Early Pay Date Number (n)
If the Relative Early Pay Date was selected with a Number (n), enter the desired number here. For example, if you selected “Next n Months” to view Payables with Early Pay Dates for the next two months, the number 2 would be entered in this field.
In the sample screen below, “All” was selected as the Conditions Met, an Account record was searched for and selected. Additionally, the “Next n Months” was selected as the Relative Due Date, for 2 months, and the Payment Proposal Date defaulted to today’s date. The search results returned Payables based upon the selected filter information.
- Click Search. The search results display in the data grid.

Click the up or down arrow that displays to the right of each column heading to sort a column in ascending or descending order. The default sort order is on the Payable Name column heading.Note: Click here to view the above image in full screen.

Select each Payable and/or Credit Memo that you want to include in this Payment Proposal batch.
Note: Remember that you will only be able to select Credit Memos to include if the Aggregate by Payee checkbox is selected on the Payment Proposal. For more details, refer to the Aggregate by Payee and/or Credit Memos on a Payment Proposal information in this article.Note: Click here to view the above image in full screen.
- Click Add. Then, click the Details tab. The added Payables display as Payment Proposal Lines in the Advanced Line Manager. You can also view the Total amount for the added Payables.
The running Total amount helps to determine if you want to return to the Search tab and add more Payables or adjust your search criteria to include additional search results, and then add more Payables.
Note: The Payables Total is the total amount of the Payables that are included on this Payment Proposal. The Total is the Payables Total minus the Credit Memos Total or in other words, the amount that will actually be paid to the Vendor. If the Credit Memos Total is 0.00, the Payables Total and the Total amount will be the same, as in the sample screen below.Note: Click here to view the above image in full screen.
Note: If discount amounts should be included, and you need assistance, refer to the Payable Discounts on a Payment Proposal section of this article.
- Once you have added all of the Payables/Credit Memos that you want to include in this Payment Proposal batch. Do one of the following:
For additional information, refer to the Approve Payments section in this article.
- If you have a Payment Approval process, click Submit for Approval. Once the Payment Proposal batch has been approved for payment, the Status field on the Payment Proposal screen should be updated to Approved.
- If you do not have a Payment Approval process, click the Status drop-down list and select Approved.
- Click Save.
From here, you can refer to the Automate Creation of Payment Records section. Or, you can also review the information in the Payment Records & Automated Payments Distribution and Automated Payment Distribution/Payment Services sections.
Use the Advanced Search to add Payables/Credit Memos
The Advanced Search uses a Payment Proposal Search Salesforce Report to search for Payables/Credit Memos based upon the filters that you include in the report. This means that you can include custom fields in your Advanced Search, as well as configure filter logic to find the Payables/Credit Memos. In addition to this out of the box report, you can create your own Salesforce reports and set them up to have your unique search criteria.
Important: In order to have your custom report display on the Advanced Search screen of a Payment Proposal, it must be saved in the Payment Proposal Search Reports folder. Additionally, when creating a custom report, Columns can be included, but do not include Groups. If one or more Groups are included on the custom report, when you click the Advanced Search tab, and select the Report Name drop-down list, your report will not be available to select from the list.
Best Practice: We recommend that you configure the filters on the out of the box report first, and then as you search for Payables/Credit Memos on a Payment Proposal, the filters will be available to select in the Advanced Search screen. For more information, refer to the Add Filters to the Payment Proposal Search Report section of the AP Automation Onboarding Process article.
Note: If you are NOT using Payment Services with Edenred Pay, and will use Check or Electronic as the Type in Payment Proposal, you can still refer to the Add Filters to the Payment Proposal Search Report information to add filters for using the Advanced Search.
If you are starting from the last step in the Create a Payment Proposal section, continue with step 1 below. Otherwise, navigate to Accounting Home | Create Entries | Expenses, and click Payment Proposals. Then, select a Payment Proposal and continue with step 1 below.
- Click the Search tab.
- Click the Advanced Search toggle button to enable this search.
Note: If you have Multi-Currency enabled, the ISO currency code will display next to the Advanced Search. Currently, only USD will display here.
- Select Payment Proposal Search from the Report Name drop-down list.
Note: If you created a copy the Payment Proposal Search Report, it will be available to select from the drop-down list. If you would like to create a copy of the report, refer to the Create a Copy of the Payment Proposal Search Report section of the AP Automation Onboarding Process article.
- Add a Value(s) based upon the Report Column Name(s) and Operator(s).
Note: The Report Filters that display will be based upon the ones that you selected to include on the Payment Proposal Search Report. And, the search results might include Payables and/or Credit Memos.Note: Click here to view the above image in full screen.
- Click Search. If Payables that match the Report Filters are found, they will display in the Results data grid.

Click the up or down arrow that displays to the right of each column heading to sort a column in ascending or descending order. The default sort order is on the Payable Name column heading.
- Select the Payables/Credit Memos that you want to include on the Payment Proposal.
Note: Remember that you will only be able to select Credit Memos to include if the Aggregate by Payee checkbox is selected on the Payment Proposal. For more details, refer to the Aggregate by Payee and/or Credit Memos on a Payment Proposal information in this article.
- From here, refer to step 5 and the remaining instructions in the Basic Search, as the same information applies from this point forward.
Add a Row
From the Detail screen, on the Advanced Line Manager (ALM) in the Payment Proposal Lines data grid, if you want to manually add a new line (row) to the existing Payment Proposal follow the steps below.
- Click Add Row.
Note: Only Payables with a balance can be added to a row. If the balance on the Payable is 0 (zero), a message will display to indicate that only Payables with a balance can be added.
If the Aggregate by Payee checkbox is selected on the Payment Proposal, you can add a completely new Payment Proposal Line by clicking the Add Row button on the line data grid. Or, if you want to add a row to an existing line, click the right arrow (next to the Status) to expand the drawer. Then click Add Row.
Note: For more details about the Aggregate by Payee checkbox, refer to the Aggregate by Payee and/or Credit Memos on a Payment Proposal information in this article.
- Complete the fields for the new row.
- Do one of the following:
- If the Aggregate by Payee checkbox is selected on the Payment Proposal, and you added a completely new line, search for and select the Vendor. Click the right arrow to expand the drawer. Then, search for and select the related Payable.
- If the Aggregate by Payee checkbox is selected and you only added a row to an existing line, click the right arrow to expand the drawer. Then, search for and select the related Payable.
- If the Aggregate by Payee checkbox is not selected, search for and select the Payable (once saved, the Vendor field will automatically populate, or you can also manually search for the Vendor).
- Enter the Amount to Pay.
Note: If this is a Credit Memo, enter a negative amount.
Note: The Amount to Pay cannot be greater than the balance on the Payable. - Add a Discount Amount, if applicable. Additionally, if applicable on the Vendor record, this field will automatically populate after you save the new row. For more information about discounts, refer to the Payable Discounts on a Payment Proposal section of this article.
Note: The Discount Amount cannot be less than 0 (zero) or greater than the current balance.
- Do one of the following:
- Click Save.
Note: The fields that are related to totals will be updated to reflect the amount on the new row.
From here, if the Payment Proposal is complete, you can refer to the Automate Creation of Payment Records section. Or, you can also review the information in the Payment Records & Automated Payments Distribution and Automated Payment Distribution/Payment Services sections.
Automate the Creation of Payment Records
At this point, there are one of three ways to automate the creation of payment records, and if using Payment Services, to automate the distribution of payments to your Vendors.
- Click Pay – a message displays to indicate that Cash Disbursements will be created. Cash Disbursements will automatically be created, posted and applied to Payables.
Note: If you are using Payment Services, the Payables will be sent to Edenred Pay for payment. - Access the Automated Jobs screen – select the Pay Payment Proposal job from Select Job drop-down list in the Run an On Demand Job section. Then, click Run Now. This will perform the same process as the Pay button (previous bullet point) in the Payment Proposal screen.
- Access the Automated Jobs screen – select the Pay Payment Proposal job from the Select Job drop-down list on the Add/Edit a Scheduled Job section to schedule this job to run automatically.
The automation process looks for Payment Proposals that are in an Approved Status to process the Payable Lines, which includes the following:
- Creating Cash Disbursements that will be Applied (as AP Disbursement records) to the related Payables. In addition, if Credit Memos were part of the Payment Proposal, they will also be Applied (as AP Credit Memo records).
- Automatically setting the Status on the Cash Disbursements to Approved.
- When Payment Services is the Type on the Payment Proposal, send the payment details to Edenred for payment.
Note: If using Payment Services, you should have already scheduled the Pay Payment Proposal automated job based upon the information related to this in the AP Automation Onboarding Process article. If using Check or Electronic, you can schedule the Pay Payment Proposal automated job to automatically create Cash Disbursements, which will be applied to their respective Payable records. - When processing completes, the system updates the Status on the Payment Proposal to Processed and updates the Status on the Payment Proposal Lines in the Advanced Line Manager to Paid.
Best Practice: It is the posting of the Cash Disbursement that starts the automation process. Therefore, we recommend adding the Cash Disbursement Scheduled Post job to run after the Pay Payment Proposal automated job so that this can be automated. If your AP Disbursements are NOT set to auto-post, we recommend adding this after the Cash Disbursement Scheduled Post job. We also recommend that you schedule the Scheduled Bank Download job to run after the Cash Disbursement Scheduled Post job so that it can bring in your bank transactions from your bank auto-matching and reconcile on your Bank Reconciliation.
Important: If using Payment Services, as part of the automation process, each Vendor/Account record must have a Billing Contact name with a valid email address. This should have already been performed as a part of the AP Automation Onboarding Process.
